Communication & Email Templates
Clear, friendly and confident communication builds client trust in an offshore team. Browse the email library above, then use the tips below for tone.
Tone of Voice
- Friendly but professional
- Clear and short, get to the point
- Positive and solution-focused
- Confident, offer options, not just problems
- Always use the client's name and sign off with yours
Working with Australian Clients
- Direct is normal, Aussies say what they mean; it's not rude
- Casual but professional, first names are standard, "Hi Sarah" not "Dear Madam"
- Keep it short, a few clear lines beat a long email
- Common phrases: "No worries" (no problem), "Cheers" (thanks / bye), "Arvo" (afternoon), "Reckon" (think), "Heaps" (lots), "EOD" (end of day)
- Time zones: Sydney/Melbourne are AEST (UTC+10) or AEDT (UTC+11) in summer; Perth is UTC+8; New Zealand is 2 hours ahead of Sydney
- Public holidays differ by state, check before promising a delivery date
Golden Rule
Never leave a client without an update. Even "No news yet, I'll check again tomorrow" builds trust.
